Purpose:

This process outlines the steps an employee should follow to request a spare device from the Finley I.T department in the event their assigned device is broken, lost, or stolen. The goal is to ensure timely replacement to minimize work disruptions.

Step 1: Incident Reporting

Employee:

    Immediately report the broken, lost or stolen device to your supervisor and create a ticket.
Include the following details in your ticket:
Employee Name
Department
Device Model and Serial number (If applicable) 
Description of the Incident 
Date and Time of the Incident
Any attempts made to recover the device (If applicable)

Supervisor:

Verify the report and ensure all relevant information is included.

Step 2: Supervisor Review and Approval

Supervisor: Review the details of the incident and confirm the necessity for a spare device.

Incase of theft, ensure the incident has been reported to local authorities and a police report is filed (If applicable).
Document any immediate measures taken for security purposes.
Remote lock, Data wipe, etc.
Supervisor: Submit a request to the I.T Department via the ticket system (Use employees ticket if possible) including the following:
Incident Report
Employee information
Device Model and Serial Number (if applicable)


Step 3: IT Department Review

IT Department: 

Upon receiving the request, verify the details and check device availability in the spare inventory.
Confirm the specific device model requested.
Review any additional security measures needed (e.g., tracking or wiping the lost/stolen device).

Local Spare: 

Office locations at Finley Engineering will have spares.
If Finley I.T determines that a local spare would be faster and more efficient they will notify the respective representatives.
Once the device has been identified Finley I.T will coordinate with the respective branch to replace the used spare.

Replacement: 

If approved, coordinate with the employee and supervisor to provide the spare device.
Gather all relevant information such as:
Shipping address
Email of employee
Spare devices should be issued within 1-2 business days of approval (depending on availability and the mailing service).
Finley I.T will send an email with all relevant information regarding tracking.
Broken device return (If applicable)
Finely I.T will send a shipping label via email to an employee or supervisor. 
Stolen/Lost device:
Finley I.T will communicate with the proper channels to gather ALL relevant documentation for the incident for record keeping. 



Step 4: Device Issuance

IT Department: 

Prepare the spare device, ensuring all necessary software and configurations are in place.
Confirm the return of the damaged device (if applicable) or documentation of loss (for stolen/lost devices).
Once the device has been returned, Finley I.T will notify the appropriate vendor for replacement or warranty work.

Employee: 

Sign a receipt of the new device, agreeing to return it if the original device is found or repaired, or if the spare is no longer needed.



Step 5: Follow-Up and Closure

IT Department:

Follow up with the employee after device issuance to ensure they are fully operational.
Update internal tracking systems with new device assignment details.

Supervisor/Employee: 

Notify Finley I.T if the original device is recovered or if any issues arise with the spare.
